- Importing Service Items is optional and may be used when a blank QuickBooks database has been prepared or if a company chooses to move to a industry standard coding structure.
Preparing the Service Item List to be Imported
- Download one of the Microsoft Excel (*.xls) files below and review the items.
- Update the Expense and Income GL Chart of Account columns in the spreadsheet. The GL Chart of Accounts referenced in the spreadsheet must exist in your QuickBooks file before importing.
- Save the spreadsheet.

- In QuickBooks, click File | Utilities | Import | Excel File
- In the 'Add/Edit Multiple List Entries' popup form, click No.
- Click 'Advanced Import'.
- Select the Microsoft Excel File within the Form.
- Select the Sheet name (i.e. Codes).
- Click “Add New” under Mapping.
- Enter a Mapping Name (i.e. Codes).
- Select “Item” for the Import Type.
- Match the following fields:
- Type = Type
- Name = Item Full Name
- Is Reimbursable Charge = Reimbursable
- Description = Description
- Description on Purchase Transactions = Description
- Income Account = Income Account
- Expense/COGS Account = Expense Account
- Click Save.
- Click Import.
